NOTES FROM QUARTERLY MEETING: 6/12

SAMPSON ALTADENA CONDO ASSOCIATION | NOTES FROM QUARTERLY MEETING
Held: June 12, 2008 7:00 pm

A) Recent Activities and Accomplishments
- Keypad entries – no problems have been reported. Please contact John Lopez if you have any problems with your code for the keypad entry.
- Evaporative coolers – water lines have been installed and electricity has been restored.
- Junk removal – A great success!
- Cleaning services – one unit owner noted that the entry at the Altadena building appeared dirty after the first week of cleaning services. This may have been due to the extra time required to clean the Sampson building, which was dirty than expected. The cleaning company will clean both buildings twice per month.
- Sampson roof – two small leaks from the spring are being addressed now that the weather is dry. The roof is still under its 10-yr warranty from Pioneer Roofing.
- Interior plaster repairs – minor cosmetic plaster repairs are being carried out over the next couple of weeks to prepare for interior paint.
- Boiler heating controls – the boiler will be placed into ‘idle’ mode in the coming weeks, and minor improvements will be made to improve the efficiency of the system operation.

B) Next Priorities
- Sprinkler system – two bids will be taken to bring the sprinkler system online in the upcoming weeks. The sprinkler system will be programmed according to recommendations of the Slow the Flow water audit and report.
- Interior paint – in the coming weeks, the Board will be selecting several historically appropriate colors, from which Association members will be asked to help select one. This color will be used to paint the interior of the common areas. The Board is hoping to paint in mid-July.
- Storage and bicycles – storage for bicycles is still being finalized. If you need a place to store a bicycle, please contact the Board.

C) Association Financial Report – over the last six-months, since the Board of Trustees has begun self-managing the Association’s operation, we have managed to bring the Association’s account into the black, pay all outstanding bills, bring all unit owners current on HOA fees, and carry out notable building upgrades. All bills are paid as of June 1, 2008 and the current balance in the Association account is over $8,000. (An operational report from the last 6 months is enclosed with this month's statement.)

D) Landscaping Committee – A landscaping committee was established to formally research and recommend landscaping options to the Association Board of Trustees. The topics that will be researched by this committee include: water-wise and xeric (drought tolerant) landscaping, and the overall beautification of the landscaping around both the Sampson and Altadena buildings (front and back). The co-chairs of the landscaping committee are: Candace DeWall and Emily Evans. John Lopez specifically asked Gerri Bucher if she would be interested in participating on the committee, which she declined. Other Association members declined to participate in this committee as well. The committee will report back to the Board within 30 days.

Reminder: Landscaping, like all changes/improvements to the common areas (and certain unit remodeling projects), requires a Repair Sign-off Form signed by an Association Board member. If you need copies of this form, please contact a Board member.

E) Historic Committee – Several attempts have been made in the past to identify what process is required to place our buildings on the Utah Historic Register. A committee should be formed to research and make recommendations about this. It was decided that Kevin Emerson, the Board vice president, would begin by learning what current unit owners have already undertaken. If you are interested in helping to place our condo buildings on the historic register, please contact Kevin Emerson.

F) Reminders:
- Copies of tenant leases – If you own and rent out one or more units in the Sampson Altadena Condos, you are required (according to the CC&R’s) to supply a copy of your current lease to the Board of Trustees. Please send a copy of your current rental lease to the Board at your earliest convenience. Thank you!

- Emergency Contact Information Form – The Board of Trustees is collecting Emergency Contact Information Forms from all unit owners. Several unit owners have not provided these forms to the Board. New forms will be distributed – please complete and fill out the forms ASAP. Thank you to those who have already provided this information.

G) HOA Decision:
Noise and Pet Policies – the Sampson Altadena Condo Association unanimously adopted a Noise Policy and a Pet Policy, effective immediately. These policies are consistent with, and clarify, the Association CC&Rs, are consistent with local ordinance, and provide a fee schedule in the event that a unit owner does not observe the policy. The policies are enclosed with this month's statement – PLEASE KEEP THESE POLICIES FOR YOUR RECORDS.

H) Open Forum
- Fence/Wall – it was suggested that at the next Association meeting the agenda should include discussion of a new fence/wall for the Association property. Many at the meeting agreed.
- Water heater – it was suggested that, in the interest of reducing our natural gas bill and conserving energy, the thermostat on the Association’s water heater be reduced slightly. The Association generally agreed that this was a good idea, though, some concern was expressed, and the Board agreed to research this idea and give it a try.

Association meeting protocol:
- Follow the agenda
- Allow other Association Members to finish speaking
- Speak only about the topic currently being discussed
- Address present and future issues only, unless an issue in the past is directly relevant to topic on the agenda
- During the “Open Forum” each Association Member present will be allotted 5-minutes to speak about an issue not on the agenda

June Newsletter

Dear Homeowners and Tenants of the Sampson Altadena Condominiums,

Below is the June newsletter from the Sampson Altadena Condo Association Board of Trustees.

REMINDER: Quarterly Meeting this Thursday!
An Association Quarterly meeting will be held this Thursday, June 12 from 7:00 to 9:00 pm at the Salt Lake City Main Library, Room C (Level 1). A notice was posted in each building and was included with this month’s statements. This quarter’s meeting agenda will include: formally adopting the Pet and Noise Policies, a report about the successful junk removal, reports on operations and financial status, upcoming activities and projects, and an Association Open Forum. Please make an effort to attend the meeting or send a proxy. Refreshments will be served!

REMINDER: Emergency Information Contact Form
The Association received several completed Owner/Tenant Information & Emergency Contact Information forms over the last several months, but if you haven’t completed and returned yours, please do so soon. The Board of Trustees requires this information to better coordinate with Emergency Services such as Police, Fire Departments and Paramedics in case of an emergency. Please fill out this form and return to a Board member promptly. Additional copies will be distributed.

Junk Removal
Thank you to everyone who helped remove junk from both basements of the Sampson Altadena buildings, and for helping clean up the building before, during and afterwards. It was a successful event by all accounts.

Keypad Entries
The keypads at each building entry have been working for several weeks now. Please do not share your number with anyone who you do not personally know, including UPS or FedEx. The Board has provided FedEx and UPS with their own codes for security purposes. If you have had any problems with your code, or if you have questions, please contact John Lopez (number below).

Cleaning Company Hired
The Board of Trustees has entered into a contract with Heal My Home, a residential and small commercial cleaning company based in Salt Lake City. Occasionally, you may see Al from Heal My Home cleaning the interior common areas and laundry room. Please contact a board member if you have any comments or questions.

Evaporative Coolers
The evaporative coolers on the building are nearly completely hooked up. We anticipate that the final re-wiring will take place before it gets too hot. Please do not make adjustments of the copper tubing valves; if you see any evaporative cooler or the copper hose leaking, please contact John Lopez or any board member.

Plaster
Plaster repairs are being made to the interior of both buildings over the coming weeks. After the plasterwork is complete, the interior of both buildings will be painted. The Board of Trustees if devising a process that will allow all unit owners to have a say in the choosing a new paint color. Stay tuned!

Sprinkler System
As the rainy season is quickly coming to an end, the sprinkler system will soon be brought online. Once this is complete, the hose spigots will be locked to prevent over-watering. NOTE: Last summer, the Association received a water conservation audit and report from the Slow the Flow/Utah State University Extension Service stating that our lawns were being over-watered, resulting in a shallow root system and poor lawn health. The audit also found evidence of moss, suggesting over-watering. The board is adopting recommendations from the report this year.

Landscaping
An Association Landscaping Committee has been created. If you would like to help make decisions about the selection of a professional landscaper, the plants to be chosen, opportunities for xeriscaping and other water-wise landscaping ideas, please contact Kevin Emerson (number below).
